For a single agent’s podcast, the per-member and per-seat tools cost less than a flat team price built for agencies. Filestage’s price includes 10 seats, which suits a brokerage marketing team more than a solo agent.
How do the four tools handle comments and approvals?
All four tools pin comments to a moment in the video and track whether an edit is approved, differing in precision, markup and status labels.
Frame.io. It lists frame-accurate and range-based comments and annotations on every plan, with statuses “Needs Review”, “In Progress” and “Approved”.
Vimeo. Review links collect time-coded comments, and its help center lists In progress, Needs review and Approved. Drawing and side-by-side compare were not listed on the pages checked.
Filestage. Annotations add timestamps automatically. Files are marked “In review”, “Needs changes” or “Approved”, with side-by-side compare from Starter.
ICONS Review. Comments sit on exact frames, with range comments and drawing. Versions are marked In review, Needs changes and Approved, and can be compared side by side or wiped.
How do they compare on reviewer access and link security?
None of the four make reviewers create an account, but link controls vary by plan. Frame.io says share links “don’t require them to sign up or log in,” and asks for a name and email after the first comment. Vimeo opens review pages to “those without a Vimeo account.” Filestage asks reviewers only for an email address, unless that email already has a Filestage account.
Link security is where plans differ:
Frame.io: passphrases, link expiry and static watermarks on Pro, Team and Enterprise.
Vimeo: per its help article on review links, “Password protection for review links requires a paid plan,” and Free allows expiry up to one month.
Filestage: password-protected review links on Starter and above.
ICONS Review: passphrase, expiry date, viewer-name watermark and instant switch-off on every link.
For an unreleased episode with a client or a listing detail in it, a passphrase and an expiry date are worth having.
What else differs between the tools?
Beyond comments and links, each tool has one area where it stands out. A short list:
Frame.io: transcription in 27 languages, Premiere and Final Cut Pro integrations, and iOS and tvOS apps.
Vimeo: full video hosting and playback. You also get email notifications for comments, mentions and replies.
Filestage: reviewer groups, due dates, weekday reminder emails and a PDF approval report.
ICONS Review: word-level subtitle suggestions and uploads up to 50 GB. Comments export as DaVinci Resolve markers, CSV or SRT, but there are no email alerts; the ICONS team sends the link.
What should an agent check before choosing a review tool?
Before you pick a review tool, run through the questions that decide cost and fit for a real estate show. Short answers are fine.
Who edits? If ICONS produces your show, review is already handled in ICONS Review. If you hire a freelancer, ask which tool they already use.
How many people approve? One agent fits a free or per-member plan. A brokerage with marketing and compliance sign-off may need reviewer groups.
How many episodes a month? Frame.io Free stops at 2 projects and Filestage Free at 5 new files a month.
Is the content sensitive before release? If episodes mention a pending listing or a client, you want passwords and link expiry, which are paid on the three paid tools.
Do you need subtitles checked? ICONS Review handles subtitle fixes in the review; on the others, check how captions are edited.
Do you want email alerts? Frame.io, Vimeo and Filestage send them. ICONS Review doesn’t.
Will the editor import notes? Check whether your editor uses Premiere, Final Cut or DaVinci Resolve, and pick a tool that exports to it.
